Privacy Policy

Safeguard Signal ("we," "us," or "our") provides an emergency alert platform for organizations and their employees. This Privacy Policy describes how we collect, use, share, and protect information about individuals who use the Platform, including employees provisioned by their employers ("Users") and organizational administrators ("Admins").

Note to employees: Your employer controls the Safeguard Signal workspace you access. Your employer is the data controller for your account. Contact your employer's HR or IT department for questions about how your organization uses the Platform.

Information We Collect

Information provided by your employer: Your employer creates and manages your account. They provide us with your name, work email address, job title, and work location. This information is used to provision your account and route emergency alerts appropriately.

Information you provide directly: When you set up your profile, you may provide your mobile phone number, personal email address, and preferred alert channels. This information is voluntary but required to receive SMS or personal email alerts.

Information we collect automatically: We collect login timestamps, session activity, alert delivery status (sent, delivered, acknowledged), and device information when you access the Platform. This is used to maintain security and provide the audit log your employer requires.

How We Use Information

We use the information we collect to:

  • Deliver emergency alerts via email, SMS, and voice calls as directed by your employer
  • Authenticate your identity and maintain account security
  • Provide acknowledgment tracking and delivery confirmation to your employer
  • Monitor threat intelligence and trigger automated alerts when configured
  • Maintain activity logs for your employer's compliance purposes
  • Operate, maintain, and improve the Platform
  • Respond to support requests
  • Comply with legal obligations

We do not use your information for advertising, marketing, or to build profiles for sale to third parties.

SMS Communications

Phone number collection: If you enable SMS alerts, we collect your mobile phone number solely to deliver emergency alert messages authorized by your employer. Phone numbers are stored in E.164 format (+1XXXXXXXXXX).

Consent: SMS alerts are opt-in only. You must explicitly enable SMS alerts in your Profile and agree to receive messages before any SMS is sent. You may withdraw consent at any time by replying STOP to any message or disabling SMS in your Profile.

Third-party SMS delivery: SMS messages and voice alerts are delivered through Twilio, Inc. Your phone number may be shared with Twilio solely for message delivery purposes. They are contractually prohibited from using your number for any other purpose. Twilio privacy policy: twilio.com/legal/privacy.

We do not sell phone numbers. We do not sell, rent, or share your mobile phone number with any third party for their marketing or promotional purposes.

Message frequency: Varies based on emergency events initiated by your employer. Messages are sent only during actual or test emergency situations - not for routine communications.

To opt out: Reply STOP to any message. You will receive one confirmation and no further SMS will be sent. Re-enable anytime in your Profile settings.

Voice Communications

If you enable voice alerts, we may call your mobile phone number to deliver emergency notifications. Calls are made only during emergencies initiated by your employer. During a call you may press 0 to opt out of future voice calls. Voice calls are delivered through Twilio, Inc.

How We Share Information

We share information only in the following circumstances:

With your employer: Alert delivery records, acknowledgment status, login history, and profile completion data are visible to your employer's workspace administrators. This is the core function of the Platform.

With service providers (subprocessors): We share information with the following providers who help us deliver the Platform. All are contractually bound to use your data only as directed by us:

For legal compliance: We may disclose information when required by law, court order, or government request, or to protect the rights, safety, or property of Safeguard Signal, our users, or the public.

Business transfers: If Safeguard Signal is acquired or merges with another company, your information may be transferred as part of that transaction. We will notify affected users.

We do not sell personal information. Ever.

Data Retention

We retain your data based on your employer's subscription plan:

Records older than the applicable retention limit are automatically and permanently deleted on a monthly basis. Your employer may request extended retention as a paid add-on.

When your employer's subscription ends, we provide a one-time data export within 30 days and permanently delete all data within 90 days (backup copies within 180 days).

Security

We protect your information using:

  • AES-256 encryption at rest
  • TLS 1.2+ encryption in transit
  • Role-based access controls enforced at the database level
  • Dedicated database instances for Enterprise customers (your data is not co-mingled with other organizations)
  • Tamper-evident activity logging
  • Regular security reviews

If we discover a breach affecting your data, we will notify your employer within 48 hours. Your employer is responsible for notifying you as required by applicable law.

Your Rights

Because your employer controls your workspace, most privacy rights requests should be directed to your employer. Your employer can:

  • Access and export your data
  • Correct inaccurate information
  • Delete your account

California residents: For CCPA/CPRA rights requests, contact support@safeguard-signal.com with subject line "California Privacy Request." We will respond within 45 days.

Other US states: Residents of Colorado, Connecticut, Virginia, Texas, and other states with applicable privacy laws may submit requests using the same contact above.

Cookies

We use essential cookies only - for authentication sessions and security. We do not use advertising cookies, tracking cookies, or third-party analytics cookies. No cookie consent banner is required as we do not use non-essential cookies.

Children's Privacy

The Platform is designed for use by employees in workplace contexts. We do not knowingly collect information from individuals under 18 years of age. If you believe a minor has provided us with information, contact support@safeguard-signal.com and we will delete it promptly.

Changes to This Policy

We may update this Privacy Policy periodically. We will update the "Last updated" date at the top of this page. For material changes, we will notify workspace administrators by email at least 30 days before the change takes effect. Continued use of the Platform after the effective date constitutes acceptance.
